Unless you’ve been living under a rock, you know you can use ChatGPT to create blogs and other marketing materials—and it can do so much quicker and cheaper than a person can.
But as convenient as it is, sometimes ChatGPT struggles to create specialized content tailored to your target audience. That’s why you should put a customized virtual employee to work. Here’s how to make one with AI.
Building Your Virtual Employee
To create your virtual employee, use ChatGPT to create three Word documents:
1. The Industry Profile
The industry profile informs your virtual employee what industry you want to write for. Keep it specialized and specific to your niche—for example, the Nashville dental industry.
Ask ChatGPT the following prompt:
- “Create a detailed business profile on the [INDUSTRY in CITY] in the context of what they want or need to work with a managed service provider, aka outsourced IT services.”
Save the output as a Word document or PDF.
2. The Ideal Client Profile
Next, create an avatar for your ideal buyer of MSP services. Use this free version of ChatGPT specifically designed for this task, the Brand Avatar Builder, created by Perry Belcher: www.MSPSuccess.com/brand-avatar.
- Upload your Industry Profile document to the Brand Avatar Builder and use this prompt: “Based on the doc I just gave you, give me a perfect avatar for a buyer of MSP services.”
- Once it generates a response, insert this prompt: “Now, take this data and create an actual avatar of a fictitious person who would be the perfect candidate for me to write to.” This will give you a detailed profile of your ideal client.
- Finally, use this prompt to wrap up the conversation: “Great, but can you give me more detailed emotional information about this avatar that would allow my writers to better connect with her on an emotional level.”
Copy all three responses into a Word document. This is your Ideal Client Profile, which will give your virtual employee someone to write to.
3. The Writing Guru’s Voice
Your virtual employee will ghostwrite blogs for you, but first you have to choose a real-life writer’s style for it to emulate. Here’s how to generate your writing guru’s voice.

- Upload both your Industry Profile and Ideal Client Profile to the tool. Ask it this prompt: “Create a ghostwriter guru who will be able to connect on a deep emotional level with the [CLIENT DOC NAME] as described here for the [INDUSTRY DOC NAME] also added here in training. This guru will be writing blog posts, newsletters, articles, and voice scripts to connect to the audience on the deepest emotional level possible. They should be friendly, warm, and communicative at a fifth grade reading level. All communications should be first person and follow the style of [FAMOUS PERSON NAME].
If you already have a person in mind whose writing style you like, you can add their name to the prompt. If not, you can ask the tool to suggest one with this prompt: “Based on this information, give me a famous person who would be relatable to the market and the avatar.” If you don’t like the person it suggests, ask for another option.
Finally, save your Writing Guru’s Voice in a Word document. Now it’s time to make your virtual employee! Note that you can use the free version of ChatGPT for all the Word documents above, but you will need the paid version to create your virtual employee.
Creating Your Virtual Employee
Your virtual employee will be able to write specialized, empathetic marketing copy for a specific niche audience. If you’d like to write copy for another vertical, repeat the above process. Keep them separate so that your virtual employees won’t get confused and write to the wrong audience.
To create your virtual employee:
- Open ChatGPT. In the top right corner, you’ll see an icon of a white diamond in a blue circle. Click that, then select “My GPTs.” On the following page, select “Create a GPT.” Confirm that the “Configure” tab in the top left corner is selected, not the “Create” tab.
- Choose a name for your virtual employee in the “Name” box; for example, “Olivia Nashville Dental Guru.”
- In the “Instructions” box, write: “This GPT is a reporter and will write articles, blog posts, newsletter posts, and video scripts for my business that sells outsourced IT services to [INDUSTRY NICHE in CITY]. Follow the trainings below to understand the market, the avatar, and the brand voice. The content should be written in the voice of [YOUR GURU’S NAME], the Guru’s Voice.”
- In the “Knowledge” section below, upload the three documents you’ve created: the Industry Profile, Ideal Client Profile, and Guru’s Voice.
The final step is a verification check, to ensure your virtual employee is running smoothly on the information you’ve given it. Open your new custom GPT and ask: “Explain the instructions I have given to you in the most detailed way possible so that I know that you’ll be able to do this job to my satisfaction.”
If there are any mistakes, let your virtual employee know what is wrong and what the correct information is.
Get Generating!
Now your virtual employee is ready! To write a blog, simply open up your virtual employee’s custom GPT and put in a prompt, such as: “Write a 1,000-word feature article for my readers about what qualities a Nashville dental practice should look for in a great IT services provider.”
Sometimes the first result is too generic. If that happens, input this prompt: “This reads like an encyclopedia … this does not read like an article written by the ghostwriter guru [YOUR GURU]. It also doesn’t speak directly to the pain points of [YOUR CLIENT AVATAR], the avatar. Try again.”
