Sales Efficiency: The Missing Metric in Most MSPs

But here’s what most MSPs overlook: Sales efficiency matters just as much. Most MSPs track one sales metric: New MRR sold, which is important, but it’s incomplete.

The real question is:
How much MRR are you generating per First-Time Appointment (FTA)?

The MRR Formula

New MRR = FTAs × Close Ratio × Average MRR

Your goal should be simple: Generate the most MRR with the fewest FTAs.

Why?

  • Leads cost money.
  • Sales time costs money.
  • Every FTA has opportunity cost.

Top-performing MSPs aren’t the busiest. They’re the most efficient.

1. Lead Quality Drives Close Ratio

Not all leads are created equal.

Warm referrals and Centers of Influence (COIs) close at dramatically higher rates than cold lists. Cold outbound and inbound marketing can work, but your foundation should be warm lead generation.

One tactical idea: Use LinkedIn to help clients identify 2–3 ideal introductions from their network. Most people want to refer you. They just need help narrowing the focus.

Be sure to track referral asks per week, COI meetings per month, and introductions secured.  Efficiency starts upstream.

2. Perceived Value Impacts Both Close Ratio and Average MRR

Most MSPs that think they have a sales problem, when they instead have a value problem.

If you look like every other MSP:

  • Similar tools
  • Similar messaging
  • Similar size

Then price becomes the deciding factor. The ability to create separation in the sales process changes everything.

When prospects clearly understand:

  • Why your framework produces better outcomes
  • How your process reduces risk
  • Why your approach aligns IT to business goals

You increase:

  • Close ratio
  • Average MRR
  • Sales predictability

Top MSPs don’t just sell more. They sell at a higher price because they’re perceived as different.

3. Sales Process Creates Consistency

Do you have a documented, repeatable sales process?

  • What is the objective of your FTA?
  • How do you qualify?
  • Who controls next steps?
  • When do you deploy key sales assets?

Without process, you get randomness and randomness kills efficiency. Structure creates predictable MRR.

A Simple Metric to Start Tracking

Instead of only tracking total MRR sold, track MRR per FTA. That’s your sales leverage.

If you can increase close ratio and average MRR while holding FTAs steady, you’ll build a more profitable, scalable MSP.
